Straight answers

Twenty questions, answered without the hedging.

Pricing, migration, security, the portal, the AI work and what happens at renewal — answered directly, with the number or the mechanism rather than a paragraph that avoids the question. Every answer here is one a firm has actually asked us.

Getting started

4 questions

Most firms are fully operational in one day. You import your client list, set your own WIP status codes, and start sending portal invitations. There is no implementation call to schedule, no six-week onboarding, and no consultant to pay. We migrate your first day at no charge.

Yes. Import runs from a spreadsheet or from your current platform's CSV export, which every major practice management tool can produce. Client records, contacts and service enrollments come across. Historical documents can be uploaded in bulk rather than re-requested from clients.

The whole platform for fourteen days — every feature on every tier, nothing held back and nothing marked “upgrade to try”. No credit card is required to start. Convert a real bank statement, send a real engagement letter, and invite a real client, because a demo file will not tell you what you need to know.

The account expires on its own. There is nothing to cancel and no card to remove, and you get a read-only window to export everything you put in before it closes. If Kveldo has not earned its place in your practice inside two weeks, walk away and take your data with you.

Switching and migration

4 questions

Your client list, contacts and service enrollments import directly from their CSV export, and documents are uploaded in bulk. Pipeline stages, automations and templates are set up fresh in Kveldo — an afternoon's work, and most firms use it to drop the workarounds their old tool made them build. We migrate your first day at no charge.

Kveldo works alongside your tax software rather than in place of it. Your tax software prepares and files returns; Kveldo runs the practice around it — the client portal, the documents you collect, the work tracking, the deadlines, the billing. Firms keep their tax software and stop paying for the four other tools that were filling the gaps.

Kveldo runs the practice around your tax software rather than duplicating it — the portal, the documents you collect, the work tracking, the deadlines and the billing. E-file and transcript retrieval stay where they already work, in the tax software your firm has chosen.

Kveldo exports straight into QuickBooks. Converted bank statements come out as CSV, XLSX, QIF or IIF, and the IIF exporter is built against real QuickBooks Desktop import behavior rather than the published spec alone — which is why the import lands clean the first time instead of needing a round of repair.

Your clients

3 questions

They set one password when they are invited, then enroll an authenticator app. After that, “remember this device” keeps them signed in on their own phone or laptop for thirty days at a time, so the code is not a daily tax. We took the harder road deliberately: the FTC Safeguards Rule requires multi-factor authentication on systems holding customer information, and a portal that skips it puts your firm out of compliance rather than the vendor.

Yes. The portal is fully responsive, so clients photograph and upload documents straight from their phone with nothing to install, no app store account and no update to chase — which is exactly why the clients who ignore portals tend to use this one.

Never, on any plan. Client portal users are unlimited and always free. Add five clients or five thousand and the price does not move — client growth should raise your revenue, not your software bill. This is enforced in the billing code, not merely advertised.

Pricing and billing

3 questions

Anyone who logs into the admin side of Kveldo — partners, preparers, bookkeepers, admin staff, seasonal help. Clients are never seats. Pricing is a flat monthly price for a band of staff rather than a per-user rate, so hiring a January temp does not change your bill until you cross a band.

No. Month to month, cancel any time, no penalty and no cancellation fee. Annual billing is offered at two months free and is never required. We would rather earn the month than hold a year of cash we have not worked for yet.

Every plan includes a monthly AI allowance — 2M tokens on Solo, 6M on Team, 9M on Firm, 12M on Premium. Going over is billed at $15 per million and is never blocked mid-conversion. A statement you are part-way through will not stop because a meter tripped.

Security and compliance

3 questions

No, and nobody can — not you, not us. Two-factor is mandatory on every account, staff and client alike. The administrative page that used to disable it has been deleted from the application rather than hidden, and that route returns 404 for every role including Super Administrator. What softens it in practice is “remember this device”, which holds for thirty days per browser and device.

Kveldo gives you the controls the Safeguards Rule requires your plan to describe: mandatory MFA, encryption at rest and in transit, role-based access, audit logging and secure disposal — documented so your WISP can reference them directly. The plan itself, your risk assessment, your named qualified individual and your staff training stay with the firm, which is how the rule is written for every vendor.

Support access is recorded in the audit trail, and on the Firm and Premium tiers that trail is exportable, so you can see exactly who looked at what and when rather than taking our word for it. Sensitive fields — Social Security Numbers, EINs, driver's license numbers, bank details — are encrypted at rest and masked in the interface, so they display as ••••••7890 rather than in plain text.

Data, ownership and exit

3 questions

You do. Your client records, documents, messages and work history are your firm's property, and nothing in the Terms transfers ownership of them to us. We hold and process that data to run the service you are paying for, and for nothing else — it is not sold, not shared with advertisers and not used to train anyone's models.

Cancellation takes effect at the end of your current billing period, with no fee. You then get a read-only window to export everything before the account closes. Thirty days after cancellation the data is permanently deleted from our systems — which is the point: it is a deletion commitment, not a hostage arrangement, and it is written into the Terms rather than left to policy.

Everything you put in comes back out. Client records and contacts export as structured files, documents download in bulk, converted statements export as CSV, XLSX, QIF or IIF, and signed e-signature records are retained for seven years and remain retrievable. An export you cannot actually leave with is not an export.

A question this page does not answer?

Ask it. A person reads it and a person replies — there is no automated sequence waiting on the other end of that form. Or start the trial and answer it yourself with your own client list, which is the only answer that really counts.
